Who we are
Southern Haze Creative is a brand operated by Folio & Flow LLC (“we”, “us”). This policy explains how we handle information you share with us through this website, our project intake and client project pages. Questions can be sent to southernhazecreative@gmail.com.
Information we collect
- Contact and Start a Project forms: your name, email address, company or brand, website, the type of project, project details, approximate budget, timeline, how you heard about us, your publicity preference and the time you acknowledged our Terms and this policy.
- Project communications: messages, replies, approvals (including the name you enter and the time), and requests exchanged during a project.
- Files you upload: logos, photography, documents and other materials you provide for your project.
- Payment records: we record payment amounts, dates, methods and reference numbers. Card and account details are handled by the payment provider you use, not stored by us.
- Technical information: basic information your browser sends, such as device and request data used by our hosting provider to deliver and secure the site.
Why we collect it
We use this information to review and respond to inquiries, scope and deliver projects, communicate with you, keep a record of approvals and payments, and operate and secure our website. We do not sell your personal information.
AI-assisted processing
When you submit a project inquiry, we may use AI tools to help prepare an internal summary and initial assessment of the request. These outputs are reviewed by a person and are used internally to help us prepare; decisions about your project are made by us, not by an automated system.
Email communications
We send emails related to your inquiry or project, such as a confirmation that we received your request, project updates, requests for information, approval requests and reminders. We do not add you to marketing lists through the project intake.
Project and file storage
Inquiry and project information and uploaded files are stored with our cloud service providers. Files are kept in private storage and are accessed through time-limited links. Client project pages are reached through a private link; please don’t share it, and tell us if you think it has been exposed so we can replace it.
Service providers
We rely on third-party providers to run our business, which may include website hosting and database providers, email delivery providers, AI model providers, payment processors (such as Stripe or PayPal) and, depending on the project, website platforms such as Lovable, Squarespace, Wix or Framer. Not every provider is used for every project. These providers process information under their own terms and privacy practices.
Cookies and analytics
Our public website does not use advertising cookies. Signing in to our private project tools uses browser storage to keep you signed in. If we add analytics in the future, we will update this policy.
Retention
We keep inquiry and project records, including communication and activity history, for as long as reasonably needed to provide our services, maintain business records, resolve disputes and meet legal obligations. Information we no longer need is deleted or anonymized under our internal procedures.
Your choices
You can ask to access, correct or delete information we hold about you, or change your publicity preference, by emailing southernhazecreative@gmail.com. We will respond within a reasonable time. Some information may need to be retained for legitimate business or legal reasons, and rights available to you may depend on where you live.
Changes
We may update this policy from time to time. The “Last updated” date shows when it last changed.
